Why are my visits failing to transmit (showing a red dot) and how do I fix this?

There are a number of reasons as to why your visits aren’t transmitting. Generally, you can fix these errors yourself. The first step you need to do is identify the problem.

  1. Find the failed visit by going to either Scheduling or filtering through Visits. The status of your transmission are indicated by these icons
  2. Click that visit to open up the preview or view the details of that visit.

  3. Find the interface status and click on Failed. This will subsequently give you an error message.

Most of the time, you can fix failed transmissions by making adjustments to your visits manually. Some common errors are:

  • Clients missing their Medicaid ID or DOB

  • Clients' DOB and Medicaid ID are not accurate in their profiles

  • Wrong service and diagnosis codes

  • Scheduled times and dates don’t match actual visits
